The multifunctional study volunteer Recruitment Services Network provides strategies, tools, and services to support study teams in developing and executing effective study recruitment plans.
Services and tools include recruitment strategy consulting, material design templates, social media ad development and placement in approved forums (requires budget), digital communications, brand approval, and study posting on community-facing site (Be Involved). Researchers can initiate a request for services using the CTSI Service Request Form.
The research study marketing team can help study teams recruit volunteers through various non-paid and/or paid marketing services.
Non-paid recruitment support
Print materials can be designed by the study team without cost by using the co-branded online templates found at the uStore under Online Orders>Go to uStore Xerox Printing > Templates > Research & Clinical Trials. (Printing is a nominal fee.)
Templates include:
- Flyer
- Elevator poster
- Postcard
- Rack Card
QR code development
To create a free, custom QR code for marketing materials, please complete this request form. For security purposes, it is requested that the study team creates the QR code through our internal resource instead of a free third-party website. This will also allow the study team to measure the number of scans the QR code receives.
Paid recruitment support
If study teams have a marketing budget, clinical trial marketing and recruitment strategy teams can provide a recommendation on paid advertising and marketing support tactics.
Paid advertising and marketing recruitment support tactics include:
- Social media ads (Clinical trial marketing will create the social media ad, set up
the campaign and will provide performance metrics.) - Paid search
- Other paid marketing tactics
Contact clinicaltrialmarketing@wakehealth.edu for more information.
NOTE: Recruitment materials should be co-branded with Wake Forest University School of Medicine and Atrium Health. If recruitment materials were created by a third party, please ask sponsor if there is an opportunity to co-brand materials. For assistance with brand guidelines visit the Brand Center.
Patient Portal Messaging
Digital Communications (DComm) provides oversight for study teams wishing to reach patients for research recruitment using patient portal (MyChart) messaging. Contact DComm@wakehealth.edu for more information.
Cohort Identification
The CTSI Office of Informatics team can assist with identifying patient cohorts based on study inclusion and exclusion criteria. Contact CTSIdata@wakehealth.edu or visit this page for additional information.
Encompass Best Practice Alerts
Encompass Support has the ability to place Best Practice Alert on patient records to notify Epic users when an eligible participant visits their location. Requires MRN list.
Be Involved is a patient-focused website that lists active clinical studies, including a study description, key requirements to participate in the study, and contact information. Search through active research studies on the Be Involved website to see typical content and format of a study posting. Learn more.
